Position Summary
The part-time church Administrator is responsible for administrative tasks to support the Pastor and the congregation. Key tasks include communication, scheduling, and supporting the operational needs of the church. The Administrator also helps to manage our building and building rentals.
Key Responsibilities
• Handle incoming mail/email/voice mail and outgoing communications.
• Prepare and distribute weekly bulletin and announcements documents.
• Coordinate and track Sunday volunteer schedule.
• Attend monthly Church Council meeting. (Meeting is currently held at 5:00 on the second Thursday of the month.)
• Organize and maintain office and online files.
• Maintain church member data and produce directory annually.
• Help to maintain and update BMC brochures.
• Provide clerical support to the Pastor.
• Provide support as requested for church leaders and committees.
• Prepare and distribute Annual Reports for Annual Meeting and attend the meeting (generally held on a Sunday morning in July).
• Help ensure our building is safe, appealing, and tidy.
• Track and coordinate building use calendar in Google calendar.
• Respond to rental inquiries and schedule rentals.
• Communicate with ongoing and one-time renters to ensure their satisfaction and compliance with contractual obligations.
• Identify and coordinate building repairs and other maintenance work.
• Help to ensure the effectiveness and accuracy of Boulder Mennonite’s website.
Qualifications
• Experience in office administration, with knowledge of administrative and office procedures and systems such as word processing, managing files and records, and workplace terminology.
• Experience in a church or non-profit setting desired.
• Knowledge of the Mennonite church (Mennonite Church USA), its values and structures is a plus.
• Detail-oriented, organized, thorough in completing work, and able to meet deadlines.
• Pleasant, with ability to positively interact with a wide variety of people with demeanor reflecting the church's values, and willing to assist others.
• Commitment to respectful, professional, and solution‐oriented communication with staff, volunteers, church leadership, and renters.
• Reliable, responsible, and consistent in meeting work-related obligations.
• Fluent computer user, able to use Word, Excel, PowerPoint, Microsoft Office, OneDrive, Google Drive, and WordPress.
• Must pass a background check.
Work Requirements
• 12 – 15 hours/week. This is an hourly position, paid by the hour for actual hours worked.
• Flexibility with hours and days worked. Monthly evening meeting (church council) and an Annual Meeting on Sunday required.
• Work is generally done in the church office.
Physical and Environmental Requirements
The Office Administrator regularly uses computers and digital communication tools for document production and communication. The role also requires occasional lifting and carrying of materials such as paper supplies, chairs and tables, and office equipment (up to approximately 25 pounds). This position requires regular movement throughout the church facility to greet visitors, assist congregants and volunteers, access office and building areas, and support church activities. The building includes multiple levels that may be accessed during normal administrative duties.
Pay and Benefits
• Pay rate $21 - $24/hour dependent on qualifications.
• Administrator reports hours to church treasurer and is paid monthly.
• Paid sick leave provided in compliance with The Colorado Healthy Families and Workplaces Act.
