Title: Office Administrator
The Office Administrator is responsible for producing, creating, and managing communications efforts, providing administrative support for the Pastor and Ministry Leaders, as well as scheduling the use of the church facility.
RESPONSIBILITIES
Communication
- Serve as communication hub between members, leaders, Pastor, and outside community
- Orient/assist new Pastors/Interim Pastors
- Update and maintain website
- Support social media platforms
- Create and send weekly email to members
- Coordinate and create monthly newsletter
- Coordinate, create, and send special mailings (announcement letters, giving statements, etc.)
- Answer phones and greet visitors and members cordially
- Handle walk-in and phone requests for assistance
- Maintain church event calendar
Worship & Member Support
- Create and publish weekly and special bulletins and worship slides
- Maintain music licensing subscriptions
- Coordinate with volunteers and staff for needed services
- Coordinate baptisms, weddings and funerals with Pastor, providing necessary forms to family, scheduling, bulletins, etc.
- Welcome new members – gather data, answer questions
- Maintain church member mailboxes and member name tags
- Support needs of Ministry Team leaders, Vacation Bible School, Sunday School and Confirmation volunteers (order supplies, etc.)
- Schedule/coordinate Supply Pastors as needed, provide bulletins, communicate with Treasurer for payment
- Register and reserve rooms of delegates for annual Synod Assembly
Records
- Maintain church database, making reports and directories as necessary, updating records and archiving regularly
- Coordinate and prepare annual congregational report
- File annual report with ELCA
- Collect money for special member purchases (holiday flowers, study books, etc.), keep accurate record and submit for deposit
Office Coordination
- Oversee office equipment and maintenance
- Maintain filing system
- Maintain/order office supplies and subscriptions
- Communicate with Financial Secretary and Treasurer to maintain financial records and manage financial processes
- Open and distribute mail appropriately
Facility Coordination and Supervision
- Coordinate requests for facility use with outside groups and church calendar
- Ensure applications for room use follow Redeemer Room Use Guidelines
- Serve as primary liaison for all groups using the facilities
- Communicate building concerns to Property Team
- Contact service providers for needed repairs (plumbers, HVAC, snowplowing, etc.) as directed by Property Team
- Communicate with Custodian regarding needs as they arise
- Submit timesheet for Custodian and Self to Treasurer and Pastor

COMPENSATION AND RELATED BENEFITS
The Office Administrator is a part-time position of 24-hours per week with paid time off as stipulated in Redeemer’s Personnel Policies/Guidelines. Inclusions and calculations will be based on policies established by the Personnel Committee. There is a six-month probationary period for new hires.

Many individuals that attend Redeemer Lutheran Church live in Plymouth, Wisconsin, and the surrounding areas. We have students in four different school districts, members that work all over the state of Wisconsin, and families who live in multiple states over the course of the year.
