Job Description
Hours: Tuesday – Thursday, 9:00am – 3:00pm
· Extra hours may be required in accordance with committee work, seasonal work, funerals, church events, etc.
Duties:
· Provide administrative and clerical support to the pastor, ruling elders, deacons, committees, additional staff, and congregation.
· Maintain a warm, welcoming environment for the congregation and community by serving as receptionist for the primary point of contact for the church.
· Answer the phone, return calls, and reply to emails in a pleasant, professional manner. Take and deliver messages.
· Retrieve mail from post office, sort and distribute it to proper recipients.
· Order office supplies as needed.
· Manage office equipment.
· Compile and print the weekly worship bulletin, announcements, and any accompanying inserts.
· Manage the church’s calendar, coordinating ministry schedules, worship services, special events, liturgical calendar seasons, and groups.
· Maintain updated church membership rolls, directories, a list of visitors, databases and various mailing lists.
· Record contributions in computer using church software program while working with the assistant treasurer and prepare weekly deposit and funds reports. Print financial reports as submitted by the treasurer. Print and mail quarterly contribution statements.
· Prepare and file documents.
· Prepare and assemble documents for session meetings, committee meetings, and board of deacons’ meetings.
· Prepare handbooks for officers.
· Order supplies as requested by committees and accept deliveries.
· Send automated messages to the congregation via One Call computer program.
· Create PowerPoint slides and schedule playlists for LED sign as directed by the session.
Requirements:
· Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint)
· Comfortability using standard office equipment
· Excellent organization, time management, and communication skills
· Must be able to maintain confidentiality regarding pastoral care and sensitive member information
Breaks: Due to the nature of the business, the office manager must remain on site for the duration of his/her shift. A break for lunch is permitted; however, the office manager is expected to remain on site and be ready to perform the job duties at all times during the work day.
Time Off
Vacation: The office manager shall receive 1 (one) week of paid vacation during his/her first five years of employment. She/he shall receive 2 (two) weeks of paid vacation during years 6-10 of employment. A continuation of 1 (one) week of paid vacation shall be added for each additional five years of employment.
Personal Days: In addition to paid vacation, the office manager shall have 5 (five) personal days to be used for various personal reasons. If possible, the office manager shall inform the administration committee and pastor a week in advance of a personal day unless it is in the case of an emergency or sudden illness.
Holidays: The office manager shall have the following paid holidays off if they fall on a regular workday:
· New Year’s Day, MLK Jr. Day, Good Friday, Memorial Day, Independence Day, Labor Day, Veteran’s Day, Thanksgiving Day, Black Friday, Christmas Eve, Christmas Day, and New Year’s Eve.
