Job Description for Administrative Assistant
Job Type Part Time, 16 hours per week
Monday-Thursday 9:00 a.m. to 1:00 p.m.
Position Summary
Perform a wide variety of responsible and complex administrative and secretarial duties for Pastoral team including Pastor, and Session and Committee Members. Coordinate and participate in office support functions in support of the church’s vision, mission, goals and objectives.
Responsibilities
● Telecom: answer all calls: distribute all messages, respond to requests for information, maintain correct information on the answering machine and other related tasks.
● Work with the Facilities Committee to maintain a master calendar
● Maintain all requests forms, i.e. facilities requests
● Publish weekly bulletins for service(s), and special bulletins as requested.
● Publish our monthly newsletter, “The Evangel”
● Receive, sort, copy and distribute incoming and outgoing mail.
● Create the Worship Leader Schedule for church services (Sundays, special services, etc) and email weekly reminders.
● Update Church activities on the church’s Web site.
● Maintain an orderly filing system both in general office and for Pastor (upon request).
● Maintain and update office procedure manual.
● Train and direct church volunteers for office help as needed and during vacation.
● Maintain two outside church signs
● Maintain special church Records
o -Acknowledge Memorial Gifts
o -Keep Members and Friends Directory current and distribute as needed
● Ensure the main office and workroom areas are kept organized, stocked with standardized supplies and cleaned at the end of each day.
Do not allow junk and clutter to accumulate.
● Coordinate the maintenance of all office equipment
● Arrange for Flowers for special holiday services
● Maintain inventory of the office supplies within the annual budget outlines
● Other projects and duties as assigned by Personnel and Pastor
Qualifications
● A personal commitment to Jesus Christ as Lord and Savior is desired
● Strong Interpersonal Skills
● Self-starter
● Dependable and reliable – assumes responsibility
● Detailed – produce consistently thorough and high-quality work
● Manage information with complete confidentiality
● Strong Technical Skills – Experience in modern office procedures, computer operations and
software applications including Microsoft Office Suite applications
● Excellent communication skills – written and spoken
● Ability to organize, prioritize and complete projects
● Can handle multiple-task responsibilities and interruptions
● Ability to pass a standard background check for employment
